Privacy Policy
This Privacy Policy explains what information Eidola ("Eidola", "we", "us", "our") collects, how we use it, and the choices you have. Eidola is a personal memory and journaling app for iOS and macOS, operated by Eidola, Inc. By creating an account or using Eidola you agree to this Policy.
Information we collect
- Account information: your name, email address, and authentication credentials managed by our identity provider.
- Content you create: voice notes, text notes, photos, documents (PDFs), and any other material you capture, along with transcripts and information derived from them (summaries, themes, and connections between memories).
- Diagnostic and usage data: limited technical logs and crash/error reports, plus metadata about AI requests (such as model name, timing, and token counts) used to operate and protect the service.
- Device and app information necessary to deliver the app (such as app version and platform).
We do not sell your personal information, and we do not use your content to train third-party AI models for their own purposes.
Voice, speech recognition, and AI processing
Eidola transcribes speech to text. Where your device and language support it, transcription happens on-device. Where on-device transcription is unavailable, audio may be processed by Apple's speech-recognition service to produce a transcript.
To provide features like search, summaries, themes, and chat, your content (or text derived from it) is sent over an encrypted connection to our backend and to third-party AI providers that generate responses on our behalf. These providers process your content only to return results to you and act as our service providers.
How we use information
- To provide, maintain, and improve the app's core features.
- To transcribe, organize, summarize, and connect your captured content into your personal memory map.
- To authenticate you and keep your account secure.
- To monitor reliability, prevent abuse, and enforce usage limits.
- To communicate with you about your account or important changes.
Service providers
We share information only with service providers that help us run Eidola, under agreements that limit their use of it:
- Cloud hosting and database/storage providers (database, file storage, server hosting).
- AI providers that generate transcriptions, summaries, and chat responses (providers of large language models and embeddings).
- Apple, for on-device and server-based speech recognition where applicable.
- Error-monitoring providers for crash and diagnostic reporting.
Data retention
We keep your account and content until you delete it or delete your account. You can permanently delete your account at any time from within the app (Me → Delete account), which removes your account and associated content from our systems. Backups and logs are retained for a limited period and then expire.
Legal bases for processing (EEA/UK)
If you are in the European Economic Area or the United Kingdom, we process your personal information on these legal bases: to perform our contract with you (to provide the app and its features); our legitimate interests in operating, securing, and improving the service; your consent, where we ask for it (which you may withdraw at any time); and to comply with legal obligations.
Your rights and choices
- Access and edit your content directly in the app.
- Delete individual items, or delete your entire account and its data from the app.
- Depending on where you live, you may have additional rights — such as access, correction, deletion, portability, objection, or restriction of processing — and the right not to be discriminated against for exercising them. Contact us to exercise them.
- Where we rely on your consent, you may withdraw it at any time.
- If you are in the EEA or UK, you have the right to lodge a complaint with your local data-protection supervisory authority.
Security
We protect your data with encryption in transit, encrypted storage of authentication tokens in the device keychain, and at-rest file protection for locally cached content on iOS and macOS. No method of transmission or storage is perfectly secure, but we work to protect your information.
Children
Eidola is not directed to children under 13 (or the minimum age required in your country), and we do not knowingly collect their personal information.
International transfers
Your information may be processed in countries other than where you live, including the United States. Where we transfer personal information out of the EEA or the UK, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses (and the UK Addendum) or another lawful transfer mechanism.
Changes to this Policy
We may update this Policy from time to time. For material changes, we will provide notice in the app.
